Training Programme Refund, Cancellation & Transfer Policy

1. Purpose

This Refund, Cancellation & Transfer Policy applies to all training programmes, workshops, certification courses, executive coaching engagements, implementation programmes, webinars, bootcamps, and learning services delivered by AiRK Artificial Intelligence Training ("AiRK").

By registering for any AiRK programme, the participant acknowledges and agrees to the terms outlined below.

2. General Principle

AiRK allocates trainer time, learning resources, programme infrastructure, administrative support, and participant capacity planning well in advance of programme commencement.

Accordingly, programme fees are generally non-refundable once a participant's seat has been confirmed. Limited exceptions may be considered under the conditions described in this policy.

3. Eligible Refund Requests

A participant may request a refund only where all of the following conditions are met:

A. Written Request

The refund request must be submitted in writing to AiRK via email before the applicable deadline.

B. Minimum Notice Period

The request must be received at least fourteen (14) calendar days before the official commencement date of the programme.

C. Genuine and Unavoidable Circumstances

Refund requests will only be considered for circumstances that are reasonably beyond the participant's control, including:

  • Serious illness or medical emergency affecting the participant
  • Hospitalization of the participant
  • Death of an immediate family member
  • Major accident resulting in inability to attend
  • Government travel restrictions or visa rejection preventing attendance
  • Employer-directed relocation or deployment occurring after registration
  • Military, civil defence, or emergency service activation
  • Natural disasters or force majeure events affecting participation

AiRK reserves the right to request supporting documentation where appropriate.

4. Circumstances Not Eligible for Refund

Refunds will not be granted for:

  • Change of mind
  • Lack of time
  • Workload increase
  • Schedule conflicts
  • Failure to obtain internal approvals
  • Failure to attend sessions
  • Change in career plans
  • Dissatisfaction with personal learning pace
  • Failure to complete assignments
  • Preference for another programme
  • Lack of technical readiness
  • Inability to use AI tools effectively
  • Travel plans made after registration
  • Personal or professional commitments known prior to enrolment

5. Refund Amount

Where a refund request is approved under this policy:

  • Registration and administrative fees may be deducted.
  • Payment processing fees, banking charges, and currency conversion fees may be deducted where applicable.
  • The remaining eligible amount will be refunded through the original payment method where reasonably possible.

Refund processing may take up to thirty (30) business days.

6. No Refund After Programme Commencement

Once any of the following occurs, no refund shall be available:

  • The programme has officially commenced;
  • The participant has attended a session;
  • Programme materials have been released;
  • Platform access has been granted;
  • Recordings or learning resources have been shared;
  • Coaching or implementation work has begun.

This applies regardless of attendance level or programme completion status.

7. Transfer of Enrolment

Where operationally feasible, AiRK may permit a participant to transfer their enrolment to:

  • A future cohort;
  • Another AiRK programme of equal value; or
  • A substitute participant approved by AiRK.

Any transfer remains subject to AiRK approval and may incur administrative charges. Transfer approval is entirely at AiRK's discretion.

8. Self-Paced and Digital Programmes

Due to the immediate delivery of digital content, the following are strictly non-refundable once access has been granted:

  • Self-paced programmes;
  • Downloadable resources;
  • Prompt libraries;
  • Digital toolkits;
  • Online learning portals;
  • Recorded courses.

9. Corporate and Government Programmes

For corporate, institutional, or government engagements:

  • Refunds are governed primarily by the executed proposal, quotation, service agreement, purchase order, memorandum of understanding, or contract.
  • Where contractual terms differ from this policy, the executed agreement shall prevail.

10. Programme Modifications

AiRK reserves the right to:

  • Change trainers;
  • Modify schedules;
  • Update content;
  • Improve curriculum;
  • Change learning tools or platforms;
  • Adjust delivery methods;

These changes may be made provided the overall learning objectives and programme outcomes remain substantially similar. Such modifications shall not constitute grounds for a refund.

11. Force Majeure

AiRK shall not be liable for delays, postponements, or programme disruptions caused by events beyond its reasonable control, including:

  • Natural disasters;
  • Government restrictions;
  • Public health emergencies;
  • Internet infrastructure failures;
  • Civil disturbances;
  • Power outages;
  • Acts of God.

Where possible, AiRK may reschedule affected programmes.

12. Final Determination

All refund, cancellation, transfer, and exceptional circumstance requests shall be reviewed by AiRK management.

AiRK reserves the right to make the final determination on any request based on fairness, operational considerations, supporting evidence, and programme commitments. The decision of AiRK shall be final.
